Add your event

Events are the best! We want to make it really easy for you to add yours and for people to find, attend, participate in and support local events. You can add your event including one image (see specs) for free by filling in this form or email the details to hello@villagebeat.au. Your event will be reviewed and will be on the site within a day or two, or even an hour or so.

Information about Featured events and Profile pages will be available on this page soon.

Please just type the Venue name. We'll link to the Venue profile, website, address and other contact details. Public contact details for artists, performers and other event organisers can be added below.

If you have an event which happens over multiple days but each day and time is different, please add the details in the Additional notes at the end of this form, or submit each event individually, or email us for assistance.

You can include one photo for your event, preferably with no text. Please include an image in .jpg or .png format, with a 16:9 aspect ratio (landscape / horizontal), and try to keep the image size to below 500 KB. Photos outside these ranges will be resized which may result in parts of your image being clipped. If your image is over 2 MB this form might not submit, so please email your photo separately to hello@villagebeat.au with your name and event name.
Please credit the photographer. If you took the photograph, simply type "Artist supplied" or "Band supplied" or other as relevant. If the photographer's watermark is on the image we will ensure this does not get cropped out if the image requires resizing. Village Beat assumes that you have the rights to distribute images with photographer credit.

Your details

Your personal details will not appear online and will not be shared with other registrants, organisations or anyone else. These are just so we can communicate with you about your event.

Agreement

By submitting this event, you agree that you are authorised to promote and share the details of this event, and agree to the Terms of Village Beat. You will receive an email confirmation that your event has been submitted, and another email with a link to your event once published to Village Beat. Your personal details will not be shared, you will not be subscribed to the What's On newsletter unless you selected to do so. You will receive a monthly Event Partner email checking to see if you have new events coming up and to let you know of any updates on Village Beat. You can contact us to change your details at any time.

Does it cost to add my event?

It is completely free to add your event. No catches, no sudden costs getting ready to jump out at you. If you have an event that repeats each week or each month, it will automatically appear on each date until you choose to amend or remove it.

There will be a limited number of Featured Events available throughout the site and in the newsletter, and other limited opportunities from time to time. These will be affordable and offered on a “best fit” basis rather than first come, to ensure balance throughout the year and to avoid monopolisation. There be no other event advertising, no other flashing paid promotions and no sponsored articles on Village Beat.

Just a few Featured Events will enable this site to grow without it being cluttered.

When will my event appear?

Your event will be checked before being approved for publication and minor amendments may be made if spelling mistakes or other errors are noticed.

You will receive an acknowledgement email once your event has been published which will happen within a day or two, but may also happen within a couple of hours

Your event will be visible until the date and time noted as the end of  your event, after which it will automatically no longer be visible.

Where will my event appear?

All events will appear in their Area, on the event Category page, and if applicable on People or Venue profile pages. When readers click on an event title from any of these pages it will take them straight to the event page.

All events will appear in the Weekly Events Guide – a simple, downloadable list published each Monday for the week ahead, available from the home screen of Village Beat website, emailed to our mailing list and posted to our socials.

Free and Featured Events may also be included on Village Beat’s socials, newsletters and anywhere else we can share them including to other event guides and media.

Will you keep my personal details private from my many fans?

By adding an event, you agree to have only the Event or Profile details that you share published on Village Beat website, social media, and communications. However, your personal information will not be shared or used for any other purpose except to communicate directly with you about your events.

We respect your privacy and will not share your email address or any other details you provide. We will not use your email for any other purposes except to let you know when your event has been published and to check in and see if you have new events coming up.

You may contact us at any time to have your Events or Profile page removed by emailing hello@villagebeat.au.

You can also simply email us if you have any questions or concerns.

People profiles

Artists, performers, workshop trainers and some organisers (such as festivals and touring events) who regularly host or appear at events, will be able to have a Profile page. Profile pages will include any contact details you wish to provide (which can include a manager or agent), links to socials, websites, a brief bio and band or group members.

All your upcoming events added to Village Beat will also be listed on your Profile as well as in the relevant Area and Event Category pages across this site. Site visitors will be able to see an event in their local area, click on the performer and go to their Profile page to see where else they are appearing and other details such as those listed above.

Venue profiles

Some venues will be able to have a Venue profile page. Venues will need to meet certain criteria, such as having regular events each month. These can be art, music, children’s story times, workshops or other events.

Venue profiles will have all contact details, website and social links and identify available facilities, such as parking, bathrooms, accessibility and other relevant details for both organisers and attendees.

As with People profiles, a Venue will include a list of upcoming events. Site visitors will be able to see an event on another page and click through to see other upcoming events at the venue.

Image specifications

When attaching an image for your event, please select a photo or other related image preferably with minimal or no text. All relevant text can be included in the event details. All images will be displayed in a landscape/horizontal format with 16:9 ratio. If your image is a different size or landscape orientation, it will be resized to fit which may result in parts of your image being clipped. The image will also be used as a thumbnail where your event is listed across the site, and any text within the image may be too small to read.

The photographer credit will be overlaid on the image if not already included.

Information about featured events will be available soon. There will be a limited number of featured events throughout the site and no other advertising or paid promotions.

Profile pages

Information about profile pages will be available soon. People and venues will need to meet certain criteria to have a profile page. Once your profile page is active, any future events you submit will automatically appear on your page as well as other locations throughout this site.

Support local events

Local and regional events need you. Go to the free events. Buy a ticket whenever you can. Share events and encourage others to go.
